Position Title: Coordinator of National Events

Division/Department: USA Wrestling/National Events

Position: Full-time

Reporting To: Director of National Events/Director of Event Marketing

Summary: Assist with the efficient and effective operation of USA Wrestling Regional, National and International Events. USA Wrestling is seeking a hard-working, detail-oriented professional to assist USA Wrestling develop, promote, implement and coordinate events at all levels of wrestling. 

Duties and Responsibilities include but not limited to:
- Design, production and distribution of event flyers and other event specific documents.
- Updating USA Wrestling specific events websites.
- Learning all USAW Events rules and policies.
- Answering phone inquiries concerning USAW Events.
- Coordinating the purchasing, cleaning, packaging, inventories and distribution of all event related materials, equipment and supplies with local organizers, to include score clocks, computers, printers, scales, televisions, projectors, networking and power equipment. 
- Managing and coordinating all shipping arrangements for supplies and event equipment to include rental truck procurement and negotiation. Loading and unloading of 20’ trailer. Must also be able to drive truck and trailer to select USAW National Events.
- Coordinating set-up of all areas at USAW assigned events including venue layout, sponsorship fulfillment, and general venue appearance. Managing physical set up/teardown of all score clocks, computers, printers, and networking for USAW Events in order to use Trackwrestling tournament management software. 
- Coordinating set-up of weigh-in area and networking computers for weigh-ins.
- Printing weigh-in cards prior to traveling to USAW Events.
- Managing/training pairers and volunteers on the use of Trackwrestling software.
- Overseeing Trackwrestling aspects for ordering events, on-line registration, event and event operations.
- Coordinating blast email promotion of prospective event participants.
- Tabulation and fulfillment of U.S. Future Olympian Rankings program.
- Personalizing, sending and tracking events contract agreements for all USAW Events.
- Contracting, rooming arrangements and invoicing hotels for major USAW Events.
- Assisting with public relations needs, television broadcast needs, internet transmission needs, sponsorship acquisition and fulfillment needs prior to and during events.
- Preparation and distribution of bid specifications for future USAW events.
- Serving as the event coordinator for selected USAW events, and closely monitor proceedings, contract compliance, implement policies and serve as a USAW’s official representative.
- Assisting in processing and invoicing event-related revenue.
- Assisting local organizers with development and coordination of current and future events programming.
- Motivating diverse groups of volunteers at all levels, possess diplomatic and negotiation skills, and share a vision for the development and growth of wrestling to include excellent customer service skills.
- International communication for USAW International Events.
- Coordinating for all transportation logistics for International Events, including driving a 15-passenger van.
- Invoicing and collection of money from International Teams at USAW International Events.
- Coordinating the entire invitation process for International USAW Events.
- Creation and distribution of all USAW International Event packets.
- Assisting as an audiovisual technician at USAW activities.
- Assisting in production activities at larger USAW National Events.
- Development of scripts and detailed timelines for USAW Events. 
- Able to lift heavy objects over 75 lbs. 
- Performing such duties as may be assigned by the Director of National Events.

Qualifications: 
• Two to five years experience in event/conference management. 
• Past event coordination and tournament management preferred. 
• A bachelor's degree in sports management, marketing, or related fields.
• Excellent verbal and written communication skills, plus experience managing social media profiles.
• Proficient skills in Microsoft Office (Word, Excel, Power Point, Publisher and Outlook) 
• Ability to network computers and troubleshoot is required. 
• Ability to learn Trackwrestling tournament management software.
• Ability to drive 20 foot trailer for an extended period of time is required. Valid driver license. 
• Ability to lift 75 lbs is required. 
• Ability to travel for extend days (predominantly weekends) is required. 
• Graphic design and desktop publishing skills preferred. 
• Must be able to successfully pass a USA Wrestling background screening.
